Working from home with Microsoft Teams

Hi, I have begun to reflect a great deal more about the issue of safety and the best way to assist you on the crossing of this Covid-19 crisis. One of the main topics is “which service to use to work from home or to make meetings?” I know some tools such as Zoom, Google Hangouts or Microsoft Teams. In this context, Microsoft Teams (available with Office 365), is Microsoft’s fastest ever growing product. Microsoft is positioning Office 365 as being able to respond to key trends in the Digital Workplace, basically of the Covid-19 crisis: Remote work from anywhere (working from home with Microsoft Teams) and bring your own device (BYOD) and Cloud collaboration. All these points are important but the level of security should not be overlooked. If you are not sure what product to choose, please read this post about Microsoft Teams.

During Covid-19 confinement, users need to work from home. Good conditions to achieve it are:

  • Quiet office at home,
  • Device for home office (laptop, workstation, etc.),
  • Internet connection (sufficient Bandwidth),
  • Secure connection to the office (VPN) such as Veeam PN (free),
  • Digital Workplace solution such as Microsoft Teams (E1 – free for 6 months),
  • Secure the laptop or workstation with a backup such as Veeam Agent for Windows (free),
  • Security considerations with private and unmanaged devices.
  • Personally, I’m strongly against jumping on the coronavirus topic as a vehicle to promote any paid products or services, as I find this simply immoral in the current circumstances (as I said in this post). So I immediately told myself I won’t advertise anything along these lines. Then, I realized this was actually safe to share, simply because Microsoft offers the product for free for 6 months (Microsoft Office 365 Enterprise E1) and I use it with my mates from my home.

Microsoft Teams runs smoothly. It allows you to work collaboratively and its free version offers you to chat in writing or in audio-video, but also to share and store documents (up to 10 GB for the entire team) and integrates perfectly with the Microsoft Office suite.

Let us start with creating an account for free if you don’t already have one and downloading the .exe file. Such as one Office component, the installation is very easy. Once you’re signed in to your Microsoft account, select “Get The Windows App” to download and install the app on your Windows, macOS, iOS, Android, or Linux device. You can follow this step by step guide (great blog post): How to Set Up Microsoft Teams. Then, you and your colleagues will be able to collaborate remotely through this organization in Microsoft Teams. You can build a better communications platform by creating new teams within your organization, integrating Teams with Office 365, and sharing your screen and your files.

Jeff Angama (Office 365 Consultant and IT blogger), explains that the paid version gives your user 1 TeraByte instead of 2GB. Basically, 1 TeraByte of data for your account, through One Drive. This is more for companies. It also comes with Office 365 other services, useful for companies. Also, you can’t schedule meetings inside Teams and record them. As a workaround, you can send an email invitation to ask to meet at a certain time.

Then, remember that Microsoft provides a wide array of powerful services within Office 365 but a comprehensive backup of your Office 365 data is not one of them. Veeam Backup for Microsoft Office 365 allows you to create backups of Microsoft Office 365 and on-premises Exchange and SharePoint organizations that contain users mailboxes, Microsoft SharePoint data, and OneDrive documents. Much-requested support for SharePoint Online and OneDrive for Business! Not just user files but also group mail, OneDrive, sites and also other SharePoint sites. To explore the backups, you can use Veeam Explorer for Microsoft Exchange or Veeam Explorer for Microsoft SharePoint both of which come as part of the Veeam Backup for Microsoft Office 365 distribution package. Veeam Explorers allow you to quickly recover users mailboxes, folders, messages, tasks, calendar items, and contacts. You can also restore your Microsoft SharePoint items and sites as well as Microsoft OneDrive documents. You can use the in-built send and save abilities to send any items as an attachment or save any items locally. You can even export Microsoft Exchange data using Veeam Explorer for Microsoft Exchange functionality. Direct restore to Office 365 and Teams is supported for the following items: SharePoint Team sites and their subsites, files attached to Team and Chat messages and Team OneNote Notebooks. Important: For small businesses, Veeam Backup for Microsoft Office 365 Community Edition provides free backup and recovery of Office 365 Exchange Online, SharePoint Online and OneDrive for Business, eliminating the risk of losing access and control over your Office 365 data, limited to 10 users and 1 TB of SharePoint data.

At the moment, the trend is also for VPNs. So much the better because VPN is a best practice (security habit to build), especially in businesses. If your sent all your employees home and they are now struggling with your corporate network access, but you don’t have time or knowledge to build, optimize and maintain your own VPN infrastructure, Veeam PN to the rescue (working from home with Veeam PN Blog Post).
